Who operates this system
nobox, an aviation recruitment agency based in Dublin, Ireland, operates this website and the recruitment system behind it. nobox is the data controller for the personal data described here.
What this system is
This is nobox's applicant tracking system. It is used by nobox recruiters to manage vacancies and applications, by candidates to apply and to manage the documents they submitted, and by airline clients to review the candidates nobox has put forward for their vacancies.
What data we hold
When you apply through the career portal, or a nobox recruiter places you on file, we hold: your name and contact details; your CV and any documents you upload (for example licences, medical certificates or passport copies); your qualifications, ratings and experience; your time zone (taken from your browser when you apply, and changeable in the candidate portal) so interview times can be shown in your own time; and your application history together with the notes and correspondence connected to it.
Why we hold it
To assess your suitability for vacancies, to present you to airline clients for roles you applied to or agreed to be considered for, to arrange interviews, and to keep in contact with you about opportunities. This processing is necessary to take steps at your request before entering into a contract, and it serves nobox's legitimate interest in running a recruitment service.
Who sees it
nobox recruiters. Airline clients see the profiles and documents of the candidates nobox shares with them for a specific vacancy, through a separate client area. We use service providers to host the system and to send email; they process data on our instructions only. If you agree to WhatsApp messages, our recruiters write to you on WhatsApp (a Meta service), and those messages go through it; you can withdraw at any time in the candidate portal or by telling your recruiter. The system's database is hosted in the European Union (Ireland).
How long we keep it
For as long as you are being considered for vacancies or have asked to stay on file. Profiles that have been inactive for an extended period are archived. You can ask for deletion at any time.
Your rights
You can ask to see the data we hold about you, have it corrected, or have it deleted. Candidates can also sign in to the career portal to view and remove the documents they uploaded. To make a request, contact the nobox recruiter you have been dealing with.
